Global Marketing Solution using Atlassian

Ever think of giving your Marketers their own sandbox, outside of email and dispersed tools, to collaborate, share assets and plan work?



A client of ours needed help. Their global marketing team lacked efficient, universally accepted tools to work together. Too much reliance on email, too many lost tasks, too much micromanagement of process.

Background:

The Client has 11 marketing teams with 5 functions (Digital Ops, Field Marketing, Global Channel, Solutions Marketing and WW Corporate Communications).


They were operating in silos with each team having their own set of tools (Sharepoint, OneDrive, Robohead, Box, BaseCamp, others) to store documents, collaborate, share and perform tasks. There was no unified platform in place for teams to effectively work as a centralized document repository and single task management/tracking tool.


Solution:

DNFCS proposed to build a collaboration platform using Confluence and to integrate it tightly with their project/task management tool, Jira Core, along with Hipchat. To aid adoption and acceptance for the business teams, DNFCS designed the look and feel of Confluence using Brikit, mimicking the client's website. DNFCS built spaces & pages to accommodate team-specific information and documents that are saved and shared commonly internally and with external vendors.


DNFCS performed a one-time importation of Sharepoint data into Confluence using a custom importer. This included 30,000+ files and 1800+ spaces.


The Spaces for each team includes various reports, calendars, work queues and announcements that are pertinent. The Solution also incorporates a Helpdesk (Jira Service Desk) to allow for some IT Service Catalog requests to alter dashboards, to add users, etc.


Result:

The client adopted the solution in May 2017 and the Global Marketing organization has been collaborating on this single platform ever since.
